Cinema Hire – Terms & Conditions

These Terms & Conditions apply to all cinema hire bookings made with VIEWBOX (“we”, “us”, “our”). By paying a deposit or proceeding with a booking, you (“the Client”) agree to the following terms.

1. Daytime Use of the Cinema

Our cinema systems operate using a projector and are therefore not suitable for use in open daylight. - Daytime use is only possible indoors, in a garage, or in a fully enclosed space where all daylight can be blocked out. - Outdoor use is only suitable from sunset onwards. - Clients are responsible for checking sunset times for their event date to plan suitable start times.

2. Space Requirements (Outdoor Inflatable Cinema)

To ensure safe and comfortable setup: - Minimum space required for the screen is approximately 4 metres (L) x 3 metres (W). - Screens can be installed on grassed areas (pegged into the ground). - Setup on paving, concrete, or decking is possible provided the screen can be securely weighted or anchored. - If your space is limited, please advise us in advance as alternative options may be available.

3. Care of Equipment

· All equipment remains the property of VIEWBOX.

· Pets must be kept away from the cinema equipment at all times.

· We will set up the cinema and demonstrate basic operation of the projector.

· Projector and electronics must remain fully undercover at all times.

· Under no circumstances should electronics be operated outdoors in rain or wet conditions.

· Any damage caused by misuse, exposure to weather, pets, guests, or improper handling will be charged to the Client.

4. Weather Policy

Outdoor cinema hire is weather dependent. - We actively monitor weather forecasts prior to your event. - If adverse weather is forecast and sufficient notice is provided, we are happy to reschedule your booking, subject to availability. - Where possible, a smaller screen may be set up indoors as an alternative. - If indoor or undercover options are unavailable, refunds are not offered due to weather. - Instead, a full credit note for the total booking value will be issued, valid for 12 months.

Weather During the Event

· If weather conditions deteriorate while the cinema is in your care, electronics must be brought indoors immediately.

· The inflatable screen should be moved carefully indoors or undercover by a minimum of two people.

· If moving from grass to hard surfaces, a rug or soft material must be placed underneath the screen.

· If the screen cannot remain inflated for collection, the security bond will be refunded once the screen has been re-inflated and inspected at our premises.

5. Payments & Security Bond

· A $50 non-refundable deposit is required to secure your booking date.

· The remaining balance must be paid 7 days prior to the event date.

· A fully refundable security bond of $100 is payable at the time of setup.

· The bond will be returned upon equipment collection, subject to inspection and no damage.

6. Cancellations

· We understand that plans can change.

· All payments made are non-refundable.

· A credit note for the full amount paid will be issued for client-initiated cancellations and is valid for 12 months from the original event date.

· If the event is cancelled by us for any reason, a full refund will be provided.

7. Delivery, Setup & Pack Down

· All hire packages include delivery, setup, and next-day pack down.

· Setup and collection typically occur between 10:00am and 4:00pm, unless otherwise arranged.

· Exact times will be confirmed the day prior to the event.

8. Hire Period

· Standard hire period is one night only.

· Multi-night hire may be arranged by prior agreement and may incur additional charges.

9. Liability

· Children must be supervised at all times.

· Climbing, hanging, leaning on, or playing with the screen, frame, blower, or electronics is strictly prohibited.

· We accept no responsibility for injury, loss, or damage resulting from misuse of equipment, failure to follow instructions, or lack of supervision.

· Our liability is limited to the total hire fee paid.

10. Movie Content & Copyright Responsibility

· The Client is responsible for ensuring that all movies or content shown are appropriate for a private event and comply with copyright and classification requirements.

· We do not supply movie licences unless explicitly stated in writing.

· We accept no liability for copyright infringements or content-related issues.

11. Acceptance of Terms

Payment of a deposit or confirmation of booking constitutes acceptance of these Terms & Conditions.

Event Live Streaming - Terms & Conditions

1. General

These Terms and Conditions constitute the entire agreement between VIEWBOX (“we”, “us”, “our”) and the Client (“you”, “your”), and supersede all prior discussions, representations, negotiations, or agreements, whether written or oral.

By confirming a booking, paying a deposit, or engaging our services, you agree to be bound by these Terms and Conditions.

These Terms and Conditions are governed by and construed in accordance with the laws of New South Wales, Australia.

2. Scope of Services

VIEWBOX provides live event streaming services, including multi-camera switching, live broadcasting, and optional basic video coverage or third-party photography where specified in the selected package.

Unless otherwise agreed in writing:

  • Our primary service is live broadcasting, not cinematic videography.

  • Recording, editing, or post-production services are not included unless explicitly stated.

3. Copyright & Ownership

All livestreamed footage, recordings, and visual content produced by VIEWBOX remain the exclusive intellectual property of VIEWBOX.

You may not, without prior written consent:

  • Copy, reproduce, edit, publish, sell, license, or distribute the content

  • Upload content to websites, television, social media, or third-party platforms

  • Provide the content to media outlets, agencies, networks, or broadcasters

Any unauthorised use constitutes a breach of copyright and may result in legal action and compensation claims under Australian and international copyright law.

4. Media Usage Consent

By engaging our services, you grant VIEWBOX permission to use short excerpts or full versions of the livestreamed or recorded content for:

  • Marketing

  • Advertising

  • Social media

  • Website and portfolio demonstration

Content will remain published unless a written removal request is received from the event organiser or authorised client representative.

5. Live Streaming Conditions

  • Live streaming commences when the MC, performer, DJ, speaker, or official program begins.

  • We do not livestream guest arrivals, venue styling, or pre-event setup unless agreed in writing.

  • Streaming duration is limited to the booked timeframe.

6. Internet & Technical Limitations

  • Live streaming relies on mobile 4G/5G internet connectivity, as many venues do not provide dedicated ethernet or reliable Wi-Fi.

  • While we use professional-grade mobile broadband equipment, stream quality may be affected by:

    • Venue location

    • Network congestion

    • Signal interference

    • Structural obstructions

    • Carrier outages

VIEWBOX is not liable for interruptions, reduced quality, or disconnections caused by internet or network factors beyond our control.

7. Audio & AV Integration

  • Where possible, audio is sourced from the venue’s AV or sound system.

  • VIEWBOX is not responsible for poor audio quality caused by:

    • Venue equipment faults

    • Incorrect output levels

    • Distorted or clipped signals

  • If required, VIEWBOX may use its own portable audio capture equipment as a backup solution.

8. Video Coverage (Non-Cinematic)

Where video coverage is included:

  • It is intended as basic event documentation, not professional cinematography.

  • We do not guarantee cinematic camera movements, storytelling edits, or advanced post-production.

  • Editing (if requested) is limited to basic trimming and adjustments.

  • Delivery timelines may range from 1 to 6 weeks, depending on workload.

For high-end videography, VIEWBOX can recommend independent videography contractors. VIEWBOX accepts no liability for third-party contractors’ performance.

9. Photography Services

Photography services (if included) are provided by independent professional contractors.
VIEWBOX is not responsible or liable for:

  • Contractor performance

  • Delays

  • Equipment failure

  • Image delivery timelines

Contracts for photography services are between the client and the contractor.

10. Client Responsibilities

The client agrees to:

  • Obtain all required permissions, licenses, and consents for music, performances, and filming

  • Ensure venue access, safe working conditions, and power availability

  • Notify VIEWBOX of any schedule changes in advance

11. Fees & Payment Terms

  • A 50% non-refundable deposit is required to secure the booking date.

  • The remaining 50% balance must be paid prior to the event date.

  • Payments can be made via bank transfer or cash unless otherwise agreed.

Failure to complete payment may result in service cancellation.

12. Postponement & Cancellation

If an event is postponed, VIEWBOX will make reasonable efforts to reschedule at no additional cost, subject to availability.

If rescheduling is not possible or the event is cancelled, the following cancellation fees apply:

Notice Period Cancellation Fee

  • Less than 1 week 100% of total cost

  • 1–2 weeks 85% of total cost

  • 2–4 weeks 75% of total cost

  • 4 weeks or more 50% of total cost

Cancellation periods are calculated based on NSW (AEST) time, including weekends and public holidays.

13. Limitation of Liability

VIEWBOX shall not be held liable for:

  • Network outages

  • Power failures

  • Acts of God

  • Venue restrictions

  • Equipment interference caused by third parties

  • Copyright infringements resulting from client-supplied content

VIEWBOX’s liability is limited to the amount paid for the services booked.

14. Force Majeure

VIEWBOX is not responsible for failure or delay in performance caused by circumstances beyond reasonable control, including extreme weather, government restrictions, or technical failures outside its network.

15. Acceptance

Booking VIEWBOX services, paying a deposit, or allowing setup to commence constitutes full acceptance of these Terms and Conditions.
